Golfi Real Estate is a high-volume real estate team in Hamilton, Ontario, operating under RE/MAX Escarpment Golfi Realty Inc. Listing agents are out in the field. Admin staff keep the machine moving behind the scenes. The team was growing fast — the listing process had not caught up.
The bottleneck
Every listing had turned into a coordination problem.
Agents and admin were not working from the same place. To move a listing forward, an agent either sent an email — unstructured, inconsistent, easy to miss — or filled out a form that asked for the same property and agent details again and again. That created friction on both sides.
The bigger issue was visibility. There was no clean path from Signed to Sold. Admin were reacting late. Agents were chasing updates. Work was getting done, but the machine underneath it was messy.
The system we built
The fix was not another form. It was one system.
A unified listing management platform was built on stable infrastructure, with one shared database at the center and a custom agent portal on top of it. The goal was simple: give admin control, give agents one place to work, and create a clear path for every listing.
- Master Database
One central source of truth for every listing. Admin could review, update, and coordinate from a single hub.
- Agent Portal
A custom front end where agents could submit listings early, manage active listings, and order services without re-entering the same information every time.
- Early-Warning Workflow
A process that encouraged agents to submit Coming Soon and Exclusive listings earlier, giving admin a real heads-up before the live date so they could coordinate services behind the scenes.
The outcome
The result was more control over the listing process and more capacity for the team.
Service order forms now require about 80% less input from agents. Admin awareness of upcoming listings increased by more than five times because listings were being entered earlier and tracked in one place. Those two shifts alone removed a major amount of back-and-forth and gave the team far more runway.
Admin became more efficient because they could coordinate proactively instead of reacting late. Agents got a simpler experience and a better quality of life because they could manage listings and order services from one place. The path from Signed to Sold became visible, structured, and easier to manage.
This is Control and Capacity working together. The workflow stopped living in inboxes and duplicate forms. The machine got stronger without adding more chaos.
What it unlocked
Before this, more listings meant more admin drag. After this, the team had a system that could carry more volume without relying on memory, follow-up, and manual cleanup. Admin could see what was coming. Agents had one place to go. Leadership had a stronger operating layer under the business.
